Suite Administrator

Description

Reporting to the Global HyCO Executive Assistant, this position will oversee all aspects of office suite, ensuring the rest of the staff has adequate support to work efficiently. Qualified candidates will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The position will be located at the Sierra Pines Office, The Woodlands, Texas.

Principal Responsibilities

  • Scheduling regular building maintenance and janitorial services

  • Overseeing contractors and inspecting completed jobs

  • Inspecting the building frequently for signs of damage or wear

  • Overseeing security, fire prevention, and other safety systems

  • Assisting with emergency response and evacuations

  • Drafting and updating emergency plans and evacuation procedures

  • Champion community service and building event

  • Quarterly meeting with building management and corporate real estate

  • Manage monthly event calendar for Sierra Pines building

  • Monitoring building maintenance budgets

  • Arranges meetings by scheduling appropriate meeting times, booking conference rooms, and planning refreshments

  • Back-up other office administrators and receptionist, as necessary

Qualifications

  • Proven working experience as an office administrator, office assistant or relevant role (2 years)

  • Excellent knowledge of Microsoft Office Suite and Sharepoint

  • High energy, confident, professional with enthusiasm for customer service

  • Outstanding communication and interpersonal abilities

  • Ability to be resourceful and proactive in dealing with issues that may arise

  • Ability to organize, multitask, prioritize and work under pressure

  • Ability to act with high integrity and trust

  • High school diploma required
